Both our 2024 tours are sold out, but you can still sign up for a waitlist. We use BikeReg as our registration vendor, and you can sign up for the BRNW California 2024 or BRNW Washington 2024 waitlists on our page there . If you sign up for a waitlist, you won’t be charged anything unless/until a spot opens up and you confirm that you still want it.

New for 2024: You’ll only sign up for event registration on BikeReg; that’s also where you’ll tell us if you want a rider gift, paper maps, etc. To order Tent & Porter, apparel, chair rental, e-bike service, airport shuttles, guided excursions, etc., you’ll use the BRNW Retail page on this website.

Registration Policies

BRNW Loyalty Program

In response to high demand for spots on our rides, we’ve established a loyalty program to help long-time riders get a spot on our rides. For 2024 tours, riders qualify for the loyalty program if they’ve ridden four or more tours in the last nine calendar years (excluding 2020 and 2021 due to cancelled tours). These riders have the chance to register one day early, and we reserve a maximum of 150 spots for each ride for early registration.

Trip Insurance

When you register for a BRNW 2024 tour on BikeReg, you’ll be given the option to buy a personal trip insurance policy that will cover you for most reasons if you have to cancel. But make sure to read what is covered and what is not. These policies are not connected to BRNW in any way; you’ll be working directly with Allianz to purchase a policy and file any claims.

Rider Cancellations
We have a new set of cancellation policies for 2024, based on registration and cancellation patterns in the past.

First, the best part: If you have to cancel, but there’s a waitlist for the ride and someone can take your spot, you get a full refund minus $200, no matter when your cancellation date is.

If there’s not a waitlist, cancellations received by 90 days before the event will get a 50% credit toward a ride the next year. Cancellations received between 90 and 45 days before the event will receive a $400 credit toward a ride the next year. Cancellations received within 45 days of the event will not get a credit or refund; by then, the money you paid is committed to vendors and other expenses.

Cancellation deadlines:
For BRNW California 2024:

  • Cancellations received by March 24 – 50% credit for a 2025 ride
  • Cancellations received between March 24 and May 8 – $400 credit for a 2025 ride
  • Cancellations received between May 9 and the event – no refund or credit

For BRNW Washington 2024:

  • Cancellations by April 14 – 50% credit for a 2025 ride
  • Cancellations received between April 15 and May 29 – $400 credit for a 2025 ride
  • Cancellations received between May 30 and the event – no refund or credit

If you have to cancel, let us know right away via email, at info@brnw.org. The date we receive your request will be the date used to determine any refund or credit.

Event Cancellations

Event Cancellation: Our registration vendor, AthleteReg/BikeReg, offers event cancellation insurance (this is different than individual rider trip insurance). We’ll pay for this. That means, for example, if we have a forest fire that cancels our event (the most likely natural disaster), you’ll receive 100% of your registration fees back from AthleteReg. This does not cover pandemic-related event cancellations, though.

If BRNW has to cancel an event for a reason not covered by our event insurance, our policy is to refund riders to the maximum extent possible, based on our available funds and obligations. In other words, we’ll give riders back all we can while still remaining sufficiently solvent.

Transfers

If you have to cancel a registration, you can transfer it to the person at the top of the event’s waitlist. If someone takes your spot, you’ll receive a full refund minus $200. If no one can take your spot, our regular Rider Cancellation policy applies. We cannot transfer registrations to the following year.

Waitlist

If a ride fills when registration opens, we’ll establish a waitlist. You’ll be given this option on BikeReg if you go to sign up and the ride is sold out. We initially take between 330 and 350 registrations, anticipating cancellations to get down to our ride size of 300. The waitlist will be based on two things: 1) If members of our loyalty program aren’t able to get into an event through early or general registration, they’re moved to the top of the waitlist; 2) Otherwise, it’s based on the chronological order of when waitlist signups are received.

If you’re on the waitlist, we’ll send periodic updates of the current list so you have an idea of where you are. If a rider spot opens up for you, we’ll send you an email to let you know. You have the choice to take it or not. You’re not committed to paying anything unless you’re offered a spot and accept it.

CPAP

If you need to use a CPAP machine on the event, you must tell us when you register, as well as whether you need electricity to run it at night. We will designate a spot in camp for CPAP users (adjacent to Tent & Porter), and provide electrical access.

E-bikes

We allow 15 e-bikes per event, and each spot must be pre-approved by us. These spots are for people who have a medical condition or an accommodation need that requires an e-bike. We provide a dedicated bike-charging station in each camp, and there is a $25 fee to pay for infrastructure. If you’d like to request an e-bike spot, you must let us know ahead of time. We consider requests on a case-by-case basis.

Event Waiver

Here’s a copy of our 2024 tours participant waiver for you to review. You’ll get a chance to e-sign the waiver when you register on BikeReg, so it’s a good idea to read it ahead of time to get through registration more quickly. We’ll also have print versions available at event check-in.
