Registration Policies

BRNW Loyalty Program

In response to high demand for spots on our rides, we’ve established a loyalty program to help long-time riders get a spot on our rides. For 2025 tours, riders qualify for the loyalty program if they’ve ridden four or more tours in the last nine calendar years (excluding 2020 and 2021 due to cancelled tours). These riders have the chance to register one day early, and we reserve a maximum of 150 spots for each ride for early registration.

Trip Insurance

When you register for a BRNW 2025 tour on BikeReg, you’ll have the option to buy a personal trip insurance policy. WE HIGHLY RECOMMEND THIS. The policy will cover you for most reasons if you have to cancel, but make sure you know what is covered and what is not. These policies are not connected to BRNW in any way; you’ll work directly with Allianz, the policy carrier, to purchase a policy and file any claims.

Rider Cancellations

We’ve updated our policy to reflect cancellation trends. We’ve also simplified it:

With a Waitlist
If you cancel at any time and there’s still a waitlist for the event, we refund your registration fee minus the BikeReg transaction fee and a $250 transfer fee.

More than 60 days
BRNW Oregon: By April 23
BRNW Idaho: By May 13

If you cancel more than 60 days out from the event start and there’s not a waitlist, we’ll refund you 75% of your registration fee minus the BikeReg transaction fee.

60 days or fewer
BRNW Oregon: After April 23
BRNW Idaho: After May 13

If you cancel within 60 days of the event and there’s not a waitlist, we’ll refund you 50% of your registration fee minus the BikeReg transaction fee – if you have documentation of the cause (medical, hardship, death in the family, etc.).

If you cancel within 60 days of the event and there’s not a waitlist, and you don’t have documentation of the cause, you won’t receive a refund.

If you have to cancel, let us know right away via email, at info@brnw.org. The date we receive your request will be the date used to determine any refund or credit.

Event Cancellations

BRNW has event-cancellation insurance that covers natural disasters, such as forest fires, that may prevent us from having our event. If we have to cancel an event for a covered reason, riders are refunded 100% of their fees by the insurance carrier.

If BRNW has to cancel an event for a reason not covered by our event insurance, our policy is to refund riders the maximum amount possible, based on our available funds and our obligations. In other words, we’ll give riders back all we can while still remaining financially solvent.

Transfers

If you have to cancel a registration, we can transfer it to another person if the event has a waitlist. If someone takes your spot, you’ll receive a full refund minus the BikeReg transaction fee and a transfer fee of $250. If no one can take your spot, our regular Rider Cancellation policy applies. We cannot transfer registrations to the following year.

Waitlist

If a ride fills up with registrations, we’ll establish a waitlist. You’ll be shown the waitlist option on BikeReg if you go to sign up and the ride is sold out. We initially take around 330 registrations, anticipating we’ll get cancellations down to our ride size of 300. The waitlist is based on the chronological order of when waitlist signups are received.

When you sign up for a waitlist, you don’t pay anything unless you’re later offered a spot and accept it.

If you’re on the waitlist, we’ll send periodic updates of the current list so you have an idea of where you are. If a rider spot opens up for you, we’ll send you an email to let you know. You have the choice to take the open spot or not.

CPAP

If you need an electric power connection overnight to run a CPAP machine on the event, you must tell us when you register, We'll designate a spot in camp for CPAP users (adjacent to Tent & Porter), and provide electrical access.

E-bikes

We allow 15 e-bikes per event, and each spot must be pre-approved by us. These spots are for people who have a medical condition or an accommodation need that requires an e-bike. We provide a dedicated bike-charging station in each camp, and there is a $50 fee to pay for infrastructure. If you’d like to request an e-bike spot, you must let us know ahead of time. We consider requests on a case-by-case basis.

If you bring a non-approved e-bike on the ride, you’ll be removed from the ride.

Event Waiver

Here’s a copy of our 2025 tours participant waiver for you to review. You’ll get a chance to e-sign the waiver when you register on BikeReg, so it’s a good idea to read it ahead of time to get through registration more quickly. We’ll also have print versions available at event check-in.
